Pre-Event Planning & Coordination

  • Creation of a comprehensive pre-event to post-event timeline

  • Negotiation and management of vendors including:

    • Venue

    • Emcee / Auctioneer

    • DJ / Entertainment

    • AV

    • Photographer / Videographer

    • Event Rentals and Decor

  • Floor layout planning, food & beverage coordination, AV requirements

  • Collection and tracking of sponsor materials, ads, and deliverables

  • Ongoing management of event elements via a custom tracking spreadsheet (timeline milestones, vendor info, guest data, expenses, and more)

  • Development of a detailed Run of Show

Day-of Event Execution

We lead all logistical aspects of your event to ensure a smooth, professional experience for your guests, donors, sponsors, and staff.

Day-of services include:

  • Arrival 2+ hours prior to check-in for setup and coordination

  • On-site leadership of guest check-in and check-out

  • Volunteer recruitment, training, and supervision

  • Management of signage, sponsor materials, raffle and auction setup

  • Coordination of load-in/load-out, vendor timing, and staff roles

  • Real-time troubleshooting and execution of Run of Show

  • On-site sales of raffle tickets and wine pulls (if applicable)

  • Recording of all live auction and paddle raise outcomes

Our team serves as the primary liaison for venue staff, AV teams, and all vendor partners to ensure flawless delivery.
